The order

When an ofter is received, it is carefully axamined and possibly compared to others.
If it seems advantageous it is followed by an order.
The order must contain the quantity of goods required, their description (colour, size, model, catalogue number, etc.), unit and total price, the deadline for the delivery, the means and time of payment.
Special instructions are often added referring to packing, insurance and transport.

Plan of the letter

• Mention previous contact
• Draw up the order
• Mention your requirements as to quality, delivery, packing, transport, insurance, payment and give references
• Request confirmation of order\refer to future business

An order must contain some data

 Quantity of goods : number of articles\weight of each item ordered
 Qualiy of goods : description of items (catalogue number, colour, model)
 Price : price per item ; total price of items ordered
 Delicery terms : prompt/ready delivery ; delivery by...
 Transport instructions : details concerning route to be covered, means of transport to be used
 Insurance : instructions concerning insurance
 Payment : details of settlement ( means of payment agreed \ time of settlement \name of bank involved in payment )

Example

Dear Sirs,
We visited your stand at”....” exhibition (fiera) in london last september where we took your brochures and price-list.
We have now decided to place a trial order for your cottom umbrellas.
Please supply 50 items for each model. As for delivery, we should be grateful if you would consider this order as urgent.
Whit regard to payment, we would suggest a draft at 60 days.
If you wish to make any enquires concerning our financial standing, please refer to our bank, whose address is mentioned above.
A prompt confirmation of our order would be appreciated.
